As a volunteer Maintenance Administrator, you will assist  the Facilities Manager with administrative support, liaising with external departments and contractors to help provide a good service and meet with statutory requirements.

 

KEY TASKS

 

Tasks may include (not exclusively)

  1. Assist the Facilities Manager by providing admin support
  2. Process work requisitions by inputting the requests onto the computer systems
  3. Collate maintenance performance and audit data, producing reports where necessary
  4. Contact contractors as necessary to initiate or chase up outstanding outsourced maintenance work
  5. Participate in environmental and transport groups and take minutes of meetings
  6. Monitor contractor planned maintenance activities to ensure they are providing service according to their contract

We can offer you ‘taster’ sessions in order for you to see what volunteering for us will be like.  Once you decide you wish to continue in your role, we will ensure you are shown how to carry out each of the tasks and are fully trained in the jobs you do with guidance from the maintenance team. We will ensure that you familiarise yourself and comply with the Health and Safety Policy, Fire Procedure, Manual Handling, GDPR and any other training where appropriate.  It is also extremely important that you maintain strict confidentiality at all times.

MINIMUM REQUIREMENTS

  • Good computer literacy skills
  • You are willing, friendly and able to work as part of a team
  • You have good communication and interpersonal skills
  • Physical ability to fulfil the requirements of the role including safe moving and manual handling

As a volunteer you will never be made to do any tasks that you are uncomfortable with, we rely heavily on the kindness and generosity of our volunteers and want them to feel happy in the role.
